UniPhi for the Aged Care Industry

One of the more enjoyable things we’ve been involved in over the past 6 years has been the successful roll out of our software to a range of retirement living and aged care providers across Australia and New Zealand. With UniPhi, organisations are able to improve efficiencies across the project environment. Efficiencies that lead to better quality builds and money saved that can be re-invested in the ultimate care that these facilities provide.

Transparency and Efficiency Improvements

With aged care and retirement living solutions expanding rapidly, an efficient portfolio and project management platform must be implemented. This is where UniPhi steps in to bring a platform for transparent and efficient communication amongst development teams. Our template system adheres to our “make once, use many times” philosophy in which you can create standardised document templates to simplify the document making process.

Danielle Parr, manager, development property at Baptcare says “Taking our portfolio of aged care development projects from spreadsheets and other ad-hoc documents into UniPhi was a challenge worth undertaking and one that UniPhi supported at every step. They took the time to understand Baptcare, our portfolio and reporting needs as well as pointing out opportunities for efficiency, transparency and innovation. We have used both their tailored training run in house and their free online training to great effect. We now have our entire development pipeline live in UniPhi with all the advantages for collaboration, consistency and ease of reporting that it brings. We know that we will have more problems to solve in the future and that we can rely on UniPhi to listen and help us get more value from using UniPhi at Baptcare.”

UniPhi Head of Consulting, Simon Day states “UniPhi’s template system has always had the capability to generate progress reports dynamically from data stored elsewhere in the system, however, the patience and focus Baptcare displayed has led to them being our first client to truly automate the PCG reporting process.” Danielle Parr concurs saying “In 2020 we moved our Project Control Group (PCG) report from a manual MS Word template to an automated template in UniPhi. Our Development Managers can now create their draft PCG reports in a fraction of the time it used to take, as UniPhi generates the financial and project status information in the document almost instantly. We now spend the time writing our analysis and fine tuning the reports, rather than manually compiling and chasing up information. This has also created a positive feedback loop for us as it has highlighted way to get more out of UniPhi on our projects, which in turn improves the report.” UniPhi Managing Director, Mark Heath states “We are excited by our continued collaboration with Baptcare and are proud that our support can assist this fantastic organisation deliver their aged and retired communities positive outcomes”

Consultant and Contractor Collaboration

UniPhi has worked with some of Australia’s largest residential aged care providers, working as the glue that connects the consultants with the contractors for seamless communication and fast-tracked results.

In 2015, UniPhi was trialled on a major new development in Sydney, Australia and following the success of that trial, was rolled out across both Australia and New Zealand as the project portfolio software for all other aged care and retirement village developments for this client. The unique feature of this deployment was the on-boarding of consultants and contractors into the platform. Instruction notices no longer need to be emailed to contracts with excel based registers a thing of the past. Each organisation has access to the UniPhi issues module enabling them to collaborate, comment, share documentation, set due dates and track action completion together as a project team. UniPhi Managing Director, Mark Heath states “This was the first client to engage with the entire project development and leverage the benefits that ensue. This is so exciting for us as we get to see the vision of our business acted out every day on these projects.“

The Development Manager at BUPA, Graham Hasslemore says “The open, web based aspects of UniPhi has allowed us to engage with our consultants and contractors in a far more productive way than the traditional email instruction approach”. This enhanced collaboration capability means our clients have more time to ensure the development meets the needs of their clients, the main reason for the investment in the first place. Graham concurs stating “The paperless and integrated system offered by UniPhi reduced the administration load, allowing us to focus on managing our Aged Care developments rather than just administering them”.

Contract Admin Integration

Many of our clients are faced with a significant development pipeline for both new facilities and the upgrade of existing ones. They seek out UniPhi’s expertise, having hired developers who had used our product elsewhere and wanting to do so again.

One of the keys for success is the ability to streamline the progress claiming process. The UniPhi software development team have extensive experience of this, having completed the same at a variety of clients in the past. Accounting integration comes with some tricks that are broader than just the technical aspects of connecting two systems and passing information between them. What do you do when transactions are sourced both in UniPhi and the ERP? What happens if the ERP doesn’t have a project ledger? How do you handle reporting commitments that come from multiple sources? UniPhi’s Systems Architect, Murray Stiles, says “The key to a successful accounting integration is to listen to the clients existing accounting structures and tailor the integration to support both the development managers needs and the ERPs current chart of accounts. We have learnt from many integration tricks that can cater for both groups seamlessly and without conflict”.
