HammondCare’s Success with UniPhi Software

“Implementing UniPhi has transformed the way we manage projects and financial reporting. By moving away from outdated manual processes, we now have real-time visibility over critical information, allowing us to make informed decisions based on accurate data.”

Overview

HammondCare, a specialist in complex care focusing on dementia and palliative care nationally, has a strong commitment to its Mission of improving the quality of life of people in need. Recognising the opportunity to enhance project management, financial tracking, and reporting using innovative technology, HammondCare’s projects and capital works team sought a powerful and reliable system — one that would reduce reliance on manual processes, unify scattered data, and support informed decision.

HammondCare has a growing projects and capital works portfolio across Australia including dementia care villages, independent living units, hospitals and respite cottages to enable the independent Christian charity expand its ability to reach more people in need.

UniPhi, an award-winning cloud-based project and portfolio management system, was selected for its flexible software configuration and a user-friendly interface. By implementing UniPhi software, HammondCare was able to connect all their project and financial information to one centralised system, making data management and reporting accurate and readily available.

Challenges

Prior to implementing UniPhi software, HammondCare managed major capital works projects through a combination of multiple systems, including spreadsheets and standalone reporting tools. This approach created the potential for inefficiencies and human error, with separate processes for financial tracking, purchase orders, and risk management. As the organisation grew, so did its project portfolio, creating the need for a more streamlined and centralised solution. HammondCare sought one digital, cloud-based system to improve data quality and accessibility and streamline workflows. Key challenges included:

  • Heavy reliance on multiple systems, resulting in scattered information across different apps and file structures, making data and file management a challenge.

  • Time consuming manual financial tracking processes.

  • Time-consuming, complex reporting processes involving multiple teams.

  • The need for real-time visibility over critical information, such as budgets, contracts, and risks to make accurate, informed decisions.

To overcome these challenges, HammondCare implemented UniPhi software. UniPhi offered the possibility of integrating all project and financial management processes into one unified system. Benefits of uniting all these elements together included simplicity, efficiency, reliability and availability.

Solutions

UniPhi software provided a well-structured solution to overcoming HammondCare’s project management and financial tracking challenges. Key features of the UniPhi deployment included:

  • Budgets and Variations (Changes) - real-time financial updates ensured cash flow stayed on track, with minimal to no errors.

  • Ongoing System Support - UniPhi’s flexible setup allowed for continuous software adjustments to meet HammondCare’s needs.

  • Financial Tracking - integration with other systems streamlined budget approvals and reduced manual tasks.

  • Real Time Data - having up-to-date data in real-time gave managers and stakeholders the confidence to be making informed decisions based on accurate, reliable data.

  • Easy Access for Users - integrated logins and email syncing simplified system use.

  • Improved Document Control - file tracking and PDF merging made sure files remained organised and easily accessible.

  • Faster Workflows - automated processes increasing efficiencies.

  • Comprehensive Reporting Tools - custom Power BI dashboards give truly valuable information.

UniPhi consultants understood that a smooth transition to UniPhi software was critical for HammondCare, given the busy nature of their work. Using UniPhi’s unique "Copy-Paste" methodology, existing project data - including budgets, contracts, and procurement details from various files and spreadsheets - were directly imported into the system. Additionally, HammondCare requested to further adopt UniPhi software, and tailor their account codes within the system to align with the financial tracking requirements of Coupa, a procurement and financial management platform. Levering UniPhi's adaptability and flexibility, HammondCare plans to complete further integrations, with Epicor, an enterprise resource planning (ERP) system, receiving strong system support from UniPhi IT.

Conclusion

The implementation of UniPhi software has made positive changes to HammondCare’s approach to project and financial management. By reducing reliance on manual reporting, improving data accuracy, and enhancing system integrations, HammondCare has increased efficiency, transparency, and overall project oversight. Ultimately, innovations such as improved project and financial management software assists the independent Christian charity to extend its Mission to improve quality of life to people in need to even more residents, clients and patients.

This forward-thinking approach reflects HammondCare’s commitment to innovation, and to running its operations to a high standard through use of new technology. Looking ahead, HammondCare will continue refining its use of UniPhi software by fully integrating UniPhi with Coupa and Epicor for financial approvals, via specialised configurations. With UniPhi’s flexible capabilities and HammondCare’s strategic vision, the organisation is well-positioned to maximise the benefits of this deployment, while supporting local technological advancements.

“Delivering our projects pipeline as efficiently as possible is an important way we can achieve our goal to support as many people as possible in need.”
